Title:                 Administrative Assistant

Reports To:     Practice Manager/Program Director/Assistant Program Director                        

EEOC:               Administrative Support

FLSA Status:   Non-Exempt

 

Summary

The BHD Administrative Assistant is responsible for performing secretarial and administrative duties to keep program functions and records organized and efficient. Under the direction of the Program Director, the Administrative Assistant will oversee billing and insurance responsibilities, coordinate required reports and train and orient new staff to the appropriate site.

Qualifications

 

Education:       High School Diploma/GED required. College degree is preferred

 

Experience:    A minimum of two (2) years related experience preferred. Billing experience and/or secretarial training is preferred.

 

Job Requirements 

Knowledge/Abilities:  Excellent typing and organizational skills are required. Ability to deal with the public in a pleasant and effective manner. Ability to work independently with minimal supervision is a necessity. Demonstrated office managerial functions. Excellent computer skills and ability to use office programs are essential. Ability to demonstrate cultural competency and age specific competency are required. Bilingual ability is highly desirable.

 

Essential Duties and Responsibilities

Greets patients and visitors in a professional and welcoming fashion. Ensures to maintain client confidentiality and follow agency, state, and HIPPA laws at all times Ensures that patients are directed to the waiting area as well as updated on wait time Schedules appointments according to established procedures and guidelines Obtains new information and ensures that registration is updated Receives telephone calls and walk-in referrals appropriately. Answers telephone calls in a professional manner Collects necessary information and refers clients and/or families to the appropriate professional discipline within the department Performs typing assignments for clinic in an accurate and efficient manner Responsible for filing patient information into the medical charts (progress notes, requested information and letters) as directed Tracks purchases and invoices through the Procurit system Maintains time attendance records and submits to payroll in a timely fashion Manages the requisition of supplies for the program Reports EOC issues to facilities including first aid log and risk assessments as assigned Participates in committee meetings as directed by the Program Director Ensures accurate registration of clients into the AS400 Responsible for performing data entry and record maintenance for clients Creates and keys-in encounters in a timely manner as determined by site. Ensures the encounter is completed (including DX, billing code, provider signature) prior to keying Responsible for the billing and insurance authorization procedures for clients (i.e. verify pre-authorization, ensure proper insurance payment, sliding fee scale process, etc.) Responsible for statistical reports under the direction of Program Director Compiles statistics from DPAS system and submits to the Program Director in a timely fashion (as applicable) Assists the Program Director in the preparation of budget (as applicable) Performs claims management follow-up through the entire process per CS-HHC policy Assists in the supervision of Aides/Interns under the direction of the Program Director Trains/orients new staff to the site/program as directed Performs all other duties as required
