Position summary: responsible for completing certain administrative tasks to ensure efficient operations.


Responsibilities:

 

Coordinate the preparation of reports, spreadsheets, and presentations required for Executive Office. Perform the seek information, research and/or examine the activities to help prepare for the materials.
Create routine correspondence, as well as ad hoc letters, memorandums and/or reports as assigned. Create and maintain a number of files. Perform other administrative tasks such as photocopying and mailings.
Manage calendar and travel itineraries for the management team and incoming visitors (if desired).
Schedule and coordinate meetings to ensure proper set up and preparation of materials, supplies, food and other activities. Monitor the whole.
Create offer letters by using the company default formats. Manage new employee paperwork. Ensure the paperwork is completed, appropriate internal employees announced staff files is started and escalated to corporate.
Receive visitors. Announce and directly to the proper party. Register individuals and issuing visitor badges. Maintain required records.
Receive incoming telephone calls, secure identity dialing and connecting to the correct parties or take message if requested.


Qualifications:

Knowledge: High School diploma or equivalent. Prior exposure to an office environment and end of different analyses and reports. Fluent in Microsoft Office.
Experience: at least 1 year experience working in an office environment or in a comparable position using Microsoft Office for creating reports, memos, letters, and presentations.
Qualifications/skills: Demonstrated Interpersonal, problem solving and communication skills. Exercises initiative to get things done without knowing. Must be results-oriented with a strong attention to detail. Demonstrated flexibility in approach.
